The Shepherd’s Center of Northern Virginia (SCNOVA) is seeking a part time, volunteer bookkeeper.  Duties are described below.  Work hours for this position are flexible and can be expected to take between 4-8 hours per month, generally at two week intervals.  On the job training will be provided.

Bookkeeper Duties:  It is desirable that the Bookkeeper processes work on a bi-weekly basis. The Bookkeeper shall be proficient using Quickbooks and Excel spreadsheets. Monthly accounting files include the accompanying checklist as a reminder of monthly responsibilities but are subject to change as needed.

Specific responsibilities:

  1. Prepare approximately 5 checks per month for the Treasurer to sign. Record checks in Quickbooks based on accounts and classes indicated on the Check Request and Approval form. Ensure timeliness of checks to avoid late penalties. Address mailing envelopes if none are included. Return checks to Executive Director who will keep for Treasurer’s signature.
  2. Process bi-weekly payroll in Quickbooks.
  3. Make timely monthly online tax deposits through the IRS and VA tax reporting systems. The IRS deadline is the 14th for processing (payment is due the 15th) and for VA is the 24th (payment due the 25th).
  4. Prepare the quarterly IRS Form 941 for the Treasurer to sign and mail. Deadlines for mailing are January 31, April 30, July 31, and October 31.
  5. Record deposits in Quickbooks based on accounts and classes indicated on the DonorSnap deposit report, approximately 4-8 per month.
  6. Reconcile checking and money market accounts monthly and record interest income and bank charges.
  7. Record interest and dividend payments quarterly when received and reconcile accounts.
  8. Record budget amounts in Quickbooks at the start of the fiscal year when received from the Treasurer.
  9. Assist with accrual and prepaid schedule preparation and other schedules related to tax return preparation and annual audit as needed
